Section 4 - Adding Contacts
How to Access:
- 1. Do a Search and click on add a contact
Inputting contacts into the system is a very common function. A stakeholder can have an unlimited number of contacts attached to their stakeholder record. A contact is anytime a project team member reaches out to a stakeholder for any reason. An example of an contact would be someone from the project team sending out a flyer to affected stakeholders that there is going to be construction around their business.
Adding Contacts Editor Manager Administrator
- Contact Date R
- Select the date in which this contact occurred. Defaults to today's date but you can select any date that is relevant
- Type of Contact R
- Select how the project team contacted the stakeholder
- Who is Entering this Contact R
- Select the user who is inputting the contact. It defaults to the logged in user but if the logged in user is inputting the information for another team member that actually did the contact, they can be selected here
- Is There an Issue Identified
- Select weather there was an issue identified for this contact. Defaults to "No" If you select yes, the type of issue box is opened up for selection
- Type of issue
- Select an issue if the above response is "Yes"
- Comments R
- Enter any comments about the contact
- priority Level
- Select a priority level for this contact, defaults to "High"
- Stakeholder Contacted By
- Select the team member that made the contact
- Select weather or not this contact require a followup from the project team
- Assign Followup R
- Select a team member to assign this contact too. The team member will be emailed letting them know that they have an contact to followup with
- Followup Instructions R
- You can enter instructions to let the team member know what needs to happen in regards to this contact
- Response Deadline R
- Select the date of when the project team needs to respond by
- Confidential Information
- Select weather or not this contact contains confidential information, defaults to "No"
- Attach an Asset
- if you need to attach an asset, you can select it from your local file system and it will be attached to this contact
